Accounting & Sales Administrative Assistant


Sears Trostel is seeking a full-time Administrative Assistant for our accounting and sales departments. Primary job duties include:

Accounts Payable:
  • AP Entry including review of bills for accuracy and reasonableness, obtain appropriate supporting documentation and approvals before processing and ensure correct coding of vendor invoices
  • Reconcile and enter business credit card expenses into accounting system
  • Respond to vendor inquiries; investigate and resolve vendor billing discrepancies as they arise; reconcile vendor statements to invoices paid
  • Assistance with weekly check processing
  • Weekly upload of check registers to bank for Positive Pay
Accounts Receivable:
  • Post AR payments into accounting software and match payments to invoices
  • Communicate discrepancies to customers to resolve payment issues as they arise
  • Ensure requests for lien waivers match payments received before submitting for signature release
  • Prepare and deliver daily bank deposits
  • Submit AR Invoices and Monthly Statements
  • Assist with AR Collections
General Office:
  • AP and AR Filing
  • Year End, remove and store old files and build new files as needed
  • Responsible for intake of all mail and internal deliver as well as managing all outgoing mail
  • Responsible for maintaining a stocked office supply inventory
  • Help in maintaining clean, organized office space and storage
  • Perform special projects and other responsibilities as assigned
Sales Administration:
  • Along with Inside Sales Representatives, act as primary phone support
  • Assist callers in routing them to the appropriate person or department
  • Create and submit correspondence to customers as needed
  • Perform special projects and other responsibilities as assigned
Qualifications:
  • Must be proficient in Microsoft Office Suite
  • Excellent PC/system skills
  • Maintain strict confidentiality at all times
  • Detail oriented, strong sense of initiative and self-motivated
  • Excellent interpersonal and communication skills
  • Organize and manage multiple priorities
  • Work independently, possess excellent analytical skills and enjoy detail-oriented work
  • Take ownership and see work projects through to completion
Experience:  At least 1 year of AP/AR experience preferred

Salary: From $18.00 per hour based on experience
